Creating an FBDI (File-Based Data Import) file for journal upload is an essential skill for anyone working with Oracle Cloud Applications. This process allows users to efficiently import large volumes of journal data into the system, streamlining financial operations and ensuring data accuracy.
In this blog, we will guide you through the step-by-step procedure for creating an FBDI file for journal upload, simplifying the complexities and enabling you to leverage this powerful tool for your organization’s financial management.
There are two kinds of spreadsheets provided by Oracle to bulk upload the data.
- ADFDi: Application Development Framework Desktop Integration
- FBDI: File Based Data Integration
In general, entities prefer to upload data using ADFDi, as it is a simple process and provides more validations. However, for the purpose of generic bulk uploading of data through integration, FBDI is useful.

Step 1: Download the Spreadsheet to fill in the Journal data

If you get an error message “Microsoft has blocked macros from running”, unlock the security warning by going to properties option of the downloaded file.
Step:2 Enter data in the Excel sheet.
Ledger ID: It is a unique ID assigned to every ledger. We can find the Ledger ID at: Setup and Maintenance -> Offering Financials -> General Journal -> Manage Primary ledger -> Select ledger -> view -> columns -> Show ledger ID
Effective Date of transaction: The date on which the transaction occurs.
Journal source: Unlike ADFDi in FBDI files, we can specify the source of origin of the Journal. This is probably because journal can be uploaded for different locations/ sources through FBDI.
Journal category: Here we specify the category for which the journal belongs to for example: Accrual, Adjustment, Purchase etc.
Currency Code: The currency in which the transaction is happening.
Segment: Unlike ADFDi which is an instance linked spreadsheet, where the segment values can be auto-filled by double-clicking, FBDI sheet is a generic sheet hence the user needs to enter the value of the segments as per the Chart of accounts that have been defined in the ledger where the journal data needs to be uploaded. In a FBDI file, there are maximum 30 segments that can be filled in one go.
Entered Debit Amount: The amount that will go to the debit side in the Journal entry.
Entered Credit Amount: The amount that will go to the Credit side in the Journal entry.
Converted Debit Amount/ Converted Credit Amount: In case the entered currency is different from the reporting currency, the user needs to convert the entered amount in the reporting currency. In that scenario, the user must fill the conversion rate type, conversion rate amount and converted debit and credit amount.
Reference 1 (Batch Name): It is used to trace the transaction by providing a reference name to the batch. In case of FBDI, multiple batches can be uploaded in one go. Hence, user can define a name to each specific batch.
Step 3: Create CSV file
There are two tabs in the file, the user first needs to fill the data in the GL_INTERFACE file and once the data is filled the CSV file needs to be created by clicking on the ‘Generate CSV File’ from the Instructions and CSV Generation tab.
After the CSV file has been created the excel sheet will look like this.
Step 4: Run Schedule Process to upload the CSV file to the Fusion Base table
Excel: Once the CSV and ZIP files are ready with the data, next process is to run “Load Interface File for Import” Scheduled process to upload this data to the interface/ staging table. This stage of data remains same – both for ADFDi and FBDL spreadsheet.
Navigation – Home screen -> Navigator -> Tools -> Schedule Processes -> monitor processes -> Schedule new process -> Under name search for ‘Load Interface File for Import’.
By clicking on OK, the instance will take you to Process details page: In the Basic Options or Parameters under Import process: Select Import Journals, this is done to transfer files from Interface table to Base table. Further, select the Data File as the CSV file created in the system.
Click on the submit button once the file is uploaded on the instance.
Once the file is uploaded, you can check on the manage Journal page under the General Journal.
